Dear Colleagues, 

The Organizing Committee and I personally are proudly inviting you to participate in the “27th Armed Forces Medical Conference” to be held in Thessaloniki on 18-20 October 2018. 

The Medical Corps of the Hellenic Armed Forces are providing highly substantial services on a daily basis, not only in hospitals or units, within the strictly military context, but also within the wider society. Being our top scientific event, the ‘Armed Forces Medical Conference’ constitutes the optimal way to communicate this significant contribution.

 

The main objectives of the Organizing Committee are the provision of information about current scientific developments and exchange of viewpoints and experiences upon all medical-military medicine issues that concern us. We are aiming at drawing conclusions and proposing solutions so as to improve good practices even further, and at the same time identify and correct any occurring drawbacks and misconceptions.

 

As known, our Conference is addressed to Physicians, Dentists, Veterinarians, Pharmacists, Psychologists and Nurses, both military and non-military. We are expecting your active participation in the different thematic sessions that will comprise highly interesting Round Tables, Lectures, Oral Presentations and Posters. 

As the Organizing Committee, we are doing our best to present you with a high-level scientific program and, despite the tough economic conditions, to have a variety of social events organized.

Interested parties can register by filling in the electronic Registration Form. Participation is confirmed only upon paying the registration fee and by sending the relevant proof of payment to the Conference Secretariat.

Please note that the registration will be valid provided that the Registration Form and the corresponding proof of payment have been sent to the Congress Secretariat no later than October 8, 2018.

Cancellation Policy
For written registration cancellations submitted to the PCO/Secretariat:
Until  17/08/2018: there will be 50 % refund of the registration fee
From 18/08/2018: there will be no refund
Cancellations by telephone will not be accepted.
In case of cancellation of registration, the refund of the fee will be settled within 30 days after the end of the Conference.

Abstract Submission

SUBMISSION OF PAPERS

 

ABSTRACTS

The Scientific Program of the Conference will include oral presentations and e-posters.

Authors interested in making oral or poster presentations are kindly requested to send electronically the abstract of their paper or research by June 30, 2018 at the latest. Abstracts must be submitted ONLY electronically via the Conference website.

Note: Abstracts submitted by fax or e-mail without using the e-Form (Electronic Submission Form) will NOT be accepted.

All interested parties are kindly requested to study carefully the preparation and submission instructions in order to have a “successful submission” of their abstract.

 

Important Dates

Deadline for submission of Abstracts: 30 June 2018.

Date of Informing about Acceptance / Rejection of Abstracts: 20 July, 2018

Deadline for submission of Abstracts for the selection procedure of the ‘Best Paper Award’: 15 September 2018.

 

Instructions for the Preparation and Submission of Abstracts

To submit the abstract, read carefully the instructions and then click on the e-Form.

 

PREPARATION

  • The abstract must be submitted in the Greek language in Word Format.
  • The e-Form must be filled in by the Author, who will be the Contact Person.
  • Size: The content of the Abstract should not exceed 250 words. In case of table / chart / image submission, the text should not exceed 200 words.
  • Table: Only one table / chart / image can be included in every abstract. Its size should correspond to 50 words (and should be within 250 words in order to fit paper size A4). It must be saved in an Image File Format (jpg, jif etc) so as to be attached (otherwise it cannot be attached). In the printed version, this will appear at the bottom of the page.
  • Structure/Layout: The Abstract should include the following sections:
  • Introduction – Purpose
  • Material / Method
  • Results
  • Conclusions

Final formatting will not include paragraph spacing.

  • Title: The title of the Abstract should appear in Upper Case (all Capital) Letters. Do not use abbreviations (other than scientific ones). The title must not exceed 25 words.
  • Affiliation Details: In this field, all Author Affiliations must be filled in (Department / Hospital / University / Foundation etc). Use Numbering to correspond every Author with their Affiliation. Every Affiliation will be registered only once (not to be repeated for each Author). Should an Author have more than one Affiliation, use more than one number (e.g. G. Papadopoulos 1,2).
  • Authors: The names of Authors (initial letter of First Name and full Surname) should be written in lower case characters (only the initial letters in Upper Case, e.g. G. Papadopoulos). It is also mandatory to underline the name of the Presenter (Author presenting the paper) as well as his/her Scientific Title.

 

SUBMISSION

  • Before submitting electronically your Abstract, check for any potential errors or omissions. Once accepted, the Abstract will be published exactly as it has been submitted. Should there follow any corrections, changes, additions or removals, these must be sent to the Professional Congress Organizer (PCO) prior to the Abstract Submission Deadline.
  • Do not submit multiple copies of the same Abstract. Avoid submitting a new Abstract to replace the previous one without first informing the Professional Congress Organizer (PCO).

 

EVALUATION PROCESS

All accepted papers will be reviewed by the Scientific Committee, who will classify them in thematic sessions and determine their final presentation type (oral presentation or poster presentation). To determine the presentation type of every paper, the Scientific Committee will take into account both the Authors’ preferred presentation type and the organizational needs of the Conference. The Scientific Committee reserves the right to reject a paper if it does not meet the above requirements.

CONFIRMATION OF SUBMISSION

Once submitting your Abstract, you will receive an Automatic Reply to the e-mail address registered in the e-Form confirming its successful submission.

Should you not receive the confirmation notification, you will have to resubmit your Abstract, as this would mean unsuccessful submission of the form and failure of being recorded in the database. Or else, you can contact the Professional Congress Organizer (PCO) to have the problem resolved.

 

LETTER OF ACCEPTANCE

The Authors will receive notification about the acceptance or rejection of their paper, as well as all information relevant to their paper, on July 20, 2018, with a reply letter to the e-mail address that has been registered in the e-Form.

 

IMPORTANT INFORMATION

  1. In order for an Abstract to be included and presented in the Scientific Program of the Conference, it is required that at least one of the Authors of each Abstract has paid the Registration Fee [pre-registration must be made at least three (3) weeks prior to the Conference date in order to have the participation confirmed).
  2. Abstracts must be authentic and original. Papers that have been published in the past will not be accepted.

Accommodation

To the participants’ convenience, a sufficient number of rooms have been reserved at the Makedonia Palace Hotel where the Conference will be held, as well as in hotels of the wider region. It is recommended to make room reservations in time. Conference participants will be served on a first-come first-served basis.

We would like to inform you that there will be an accommodation tax applied from 1-1-2018 with an extra €4 fee per room per night.

CANCELLATIONS – CHANGE OF ACCOMMODATION

Cancellation requests should be sent in written form to the Professional Congress Organiser (PCO).

  • Should cancellation be requested until 12/07/2018, there will be no charge at all.
    • Should cancellation be requested from 12/07/2018 to 02/09/2018, one (1) night will be charged for every cancelled room.
    • Should cancellation be requested from 03/09/2018 and on, all nights will be fully charged for every cancelled room.
    In case of cancellation, the refund will be settled after the end of the Conference.REMARKS• Official check-in time: 14.00. Official check-out time: 12.00.
    • In case the participant does not arrive on the exact pre-confirmed check-in date and the PCO have not been informed about the late arrival, the hotel reserves the right to release the participant’s room 24 hours later without any warning. Amounts paid are not refunded.In case of late arrival or early departure, the amount paid for the pre-confirmed booking is not refunded.
